Streamlining Facilities Service Operations with New Technician Time Tracking Feature

Ecotrak launches new tool for technicians and operators, available on web and mobile

For facilities management organizations with internal service technicians, understanding how their time is spent is as critical an insight as warranty information or inventory costs. Technician time is a top line item on the ledger of facilities management.

Ecotrak’s new time tracking feature provides better visibility into how technician hours are being spent in the field. By tracking when technicians clocked in for the day, how long they're on site, and how much time they spend driving, teams can be more accountable, reduce guesswork and billing, and streamline overall operations.

Technician time tracking essentials

With the technician time tracking feature, service technicians can log multiple actions on the Ecotrak platform. A technician may clock in for the day, start and end a drive, complete work tasks, clock out, and connect these actions to a specific work order.

These times update dynamically based on the action performed. To prevent errors, some simultaneous actions cannot be performed at the same time (for example, starting a drive and checking into a work order).

Depending on user permissions (more on that below), a technician may be able to see their own timesheet and have the ability to edit times, adjusting records when needed to ensure accuracy.

And to meet the needs of on-the-go technicians, all time tracking actions that can be done on the web are also available on mobile at the end of July.

Time tracking and work order integration

Tracking that is integrated into a ticket management system is a particularly valuable feature of this new functionality. Time tracking of course gives technicians the ability to accurately record their daily work, but it can also provide administrators and operators the ability to track this information against work orders.

Using the Ecotrak platform, a technician can see all work orders. Their time can be connected to a specific work order, checking in and checking out of that record.

By connecting directly to the work order, a technician can view all work order details and update actions. This integration not only supports back office consistency, but it also encourages technicians to update the status of work orders while tracking their time — two key details for effective facilities management.

Leveraging time tracking across your organization

With time tracking integrated into your overall Computerized Maintenance Management System (CMMS), time tracking can be more transparent in your organization. Logged hours can be referenced on work orders and invoices, to ensure the invoice matches the actual work performed, and that time is being represented on the invoice.

Depending on the setup and goals of your organization, time tracking records can be accessed through different user permission levels. An operator may choose to limit internal service providers’ access to only their own record, a timesheets tab in Ecotrak that shows what hours they have logged. Managers and operators may be given a higher level of permissions, with the ability to edit timesheets and view all hours input into the system.

Whatever permissions a customer chooses, the flexibility ensures an organization can create the system they need for visibility of technician hours.

Investing in technician time tracking

With technician time tracking, operators can better understand the nitty gritty data behind technician labor hours, one of notable costs in facilities management. Insight into the labor line ensures facilities management teams are equipped to make better repair and maintenance cost decisions over time.
